How we work

Our work comes down to three things

First we understand how you work, then we talk about AI. Never the other way round.

01 · Understand

Twenty minutes together, and you do the talking. How customers find you, what happens next, how you handle appointments, what you always end up putting off. We listen and take notes. From there we pick out the two or three things that are really worth fixing, and we tell you which ones to leave alone.

02 · Set up

Once we know what's needed, we get to work. We connect AI to the tools you already use and, where something's missing, we build it. Before we start, you'll have it in writing: what we'll do, how long it'll take and what it costs.

03 · Make it a habit

We make it part of how you work. This is the part that really counts. We train you and your team on your actual tasks, not on examples pulled off the internet. In the weeks that follow we're in touch often: we see how you're using it and fix whatever slows you down. If after a month it's still something you have to remember to use, we're not done.

Why there's no price list here

Because we don't know yet what you need, and until we do, any number would be made up.

A price list would have you choose before we've understood the problem. Some businesses solve everything with one change; others need a bigger piece of work. Paying for features you'll never use doesn't work for either of us.

You get the price after the call, in a written proposal: one fixed fee for the whole thing, from setup to training to the first month of support. If you'd like ongoing support beyond that, there's an optional monthly plan you can cancel at any time.

GeluStudio is an independent consultancy based in Liguria, Italy. We work with small and medium-sized businesses, professional practices, garages and tradespeople who all have one thing in common: lots to do and too little time to keep on top of it. We work remotely, with clients across Europe and beyond.

We don't sell off-the-shelf software and we're not tied to any vendor. At the moment we mostly work with Claude, because its business accounts give us the data protections we need. If there's a better fit for you, we'll tell you.

And when the tools out there aren't enough, we build custom platforms for your business, with AI built in.

Questions everyone asks us

We start from the work, not the technology. First we look at how your day runs, then we decide what to set up. And we don't leave you with some software and a manual: we stay until you're actually using it.

If you have repetitive work, things that pile up, and information scattered across your phone, messages, email and bits of paper, you're ready. You don't need to be fully digital: if you're not, that's exactly where we start.

You came to us to take work off your plate, not to add more. All we need from you is the twenty-minute call, a couple of training sessions and a few messages in the weeks that follow. We take care of the setup.

One app, at most. You use AI from an app on your computer or phone, by typing or talking, the way you would with a colleague. Teaching you to use it well is exactly our job. For everything else, nothing changes: you keep the email, documents and apps you use now.

That's exactly why we work this way. We train you on your own work, not on generic examples, and we go at your pace. If it's still complicated to use at the end, that means we've set it up wrong.

That happens a lot, and almost always for one of two reasons: starting with the wrong thing, or someone setting it up and disappearing. We choose with you where to start, and we stay until it's part of your routine.

That's normal, and it's not a problem. We start from where things are now, and AI is actually one of the fastest ways to get organised. Getting organised is part of the job, not something you need to do before we start.

If you already work on a computer, you're up and running in a week or two: we set everything up and do the training. Then we support you through to the end of the first month, until it's a habit. If something needs building, small things take a couple of weeks; bigger projects take longer. The timeline is in the proposal, before we start.

Yes: the AI subscription, which you pay directly to the provider and which is in your name. It's usually a few dozen euros per person per month. We include it in the proposal, so you know from the start what you'll spend in total.

We use business accounts, where what you write isn't used to train the models. The accounts are yours, and we only access them to set them up.

The accounts are in your name: if you stop, everything stays yours and you can keep using it on your own. The monthly plan is optional and you can cancel with no penalty.

In a few years, all this will be normal
